NATIONAL AI AWARDS 2026 — SUBMISSION PORTAL TERMS OF USE
These Terms of Use govern access to and use of the National AI Awards 2026 submission portal, operated by SLT-MOBITEL for the purpose of receiving applications and supporting materials from award applicants. By accessing, registering with, or submitting any information through the Portal, the Applicant agrees to be bound by these Terms.
1. DEFINITIONS
In these Terms:
“Applicant” means any individual, team, company, start-up, university, government institution or other organization submitting an entry through the Portal.
“Submission” means any application, proposal, document, presentation, source material, video, demonstration, model, software, data, image, research paper, intellectual property or other content uploaded to the Portal.
“Awards Programme” means the National AI Awards 2026.
“Portal” means the online platform established by SLTMOBITEL for receiving and managing applications and submissions.
“Judges” means the evaluation panel appointed by SLTMOBITEL.
2. ACCEPTANCE OF TERMS
2.1 By using the Portal, the Applicant represents and warrants that:
- these Terms have been read and understood;
- the Applicant has the legal capacity to accept these Terms;
- where acting on behalf of an organisation, the Applicant has authority to bind that organisation; and
- all information submitted is true, accurate and complete.
3. ELIGIBILITY
3.1 The Awards Programme is open only to applicants who meet the eligibility criteria published by SLTMOBITEL.
3.2 SLTMOBITEL reserves the right to verify eligibility at any stage of the Awards Programme.
3.3 SLTMOBITEL may reject or disqualify any Applicant who fails to satisfy the eligibility requirements.
4. REGISTRATION AND ACCOUNT
4.1 Applicants shall provide complete and accurate registration information.
4.2 Applicants are responsible for maintaining the confidentiality of their login credentials.
4.3 Applicants shall immediately notify SLTMOBITEL of any unauthorized access to their account.
4.4 Applicants are responsible for all activities carried out through their account.
5. PURPOSE OF THE PORTAL
5.1 The Portal is provided solely for the purpose of:
- registering Applicants;
- receiving Submissions;
- facilitating the evaluation process;
- communicating with Applicants; and
- administering the Awards Programme.
The Portal shall not be used for any other purpose.
6. PERMITTED USE
Applicants shall use the Portal lawfully and in accordance with these Terms. Applicants shall not:
- upload unlawful or offensive content;
- upload viruses, malware or malicious code;
- interfere with the operation of the Portal;
- attempt unauthorized access to any system;
- impersonate another person or organisation;
- submit false or misleading information;
- upload content that infringes third-party rights;
- use automated scripts or bots to access the Portal; or
- use the Portal for commercial purposes unrelated to the Awards Programme.
SLTMOBITEL reserves the right to suspend or terminate access for any breach of these Terms.
7. SUBMISSION REQUIREMENTS
7.1 All Submissions shall be made through the Portal within the prescribed deadlines.
7.2 Applicants are solely responsible for ensuring that their Submissions are complete, accurate and submitted before the applicable deadline.
7.3 SLTMOBITEL shall not be responsible for incomplete, corrupted, delayed or failed uploads due to technical issues, internet connectivity or user error.
7.4 Submission of an application does not guarantee evaluation, nomination, shortlisting or receipt of an award.
7.5 SLTMOBITEL may request additional documents, demonstrations, presentations or clarifications during the evaluation process.
8. APPLICANT RESPONSIBILITIES
8.1 The Applicant represents and warrants that:
- the Submission is original or the Applicant has all necessary rights and permissions to submit it;
- the Submission does not infringe any intellectual property or other legal rights of any third party;
- all information provided is accurate and not misleading;
- the Submission complies with all applicable laws; and
- the Applicant has obtained all necessary approvals and consents required for the Submission.
9. TECHNICAL REQUIREMENTS
9.1 Applicants are responsible for ensuring that:
- uploaded files are in the prescribed formats;
- uploaded files are free from viruses or malicious software;
- file sizes comply with Portal requirements; and
- all uploaded materials can be accessed and reviewed by SLTMOBITEL.
SLTMOBITEL may reject files that cannot be opened or contain malicious software.
10. INTELLECTUAL PROPERTY
10.1 The Applicant retains ownership of all intellectual property rights in the Submission.
10.2 Submission of any material through the Portal shall not transfer ownership of the Applicant’s intellectual property to SLTMOBITEL.
10.3 The Applicant represents and warrants that it owns, or has obtained all necessary rights, licences and permissions to submit the Submission and grant the rights set out in these Terms.
10.4 The Applicant shall be solely responsible for any claim arising from the Submission relating to intellectual property or other proprietary rights.
11. LICENCE GRANTED TO SLTMOBITEL
11.1 By submitting a Submission through the Portal, the Applicant grants SLTMOBITEL a non-exclusive, royalty-free, worldwide licence for the duration of the Awards Programme and for a reasonable period thereafter for record-keeping purposes, to:
- receive, access and store the Submission;
- reproduce the Submission for evaluation and administrative purposes;
- share the Submission with Judges, evaluators, mentors, advisors and authorised representatives involved in the Awards Programme;
- display or demonstrate the Submission solely for evaluation purposes; and
- maintain copies for audit, record-keeping and dispute resolution purposes.
12. CONFIDENTIAL INFORMATION
12.1 Applicants should avoid submitting confidential information unless it is necessary for the evaluation of the Submission.
12.2 Where confidential information is included, the Applicant shall clearly identify such information.
12.3 SLTMOBITEL shall take reasonable measures to limit access to confidential information to persons involved in administering or evaluating the Awards Programme.
12.4 SLTMOBITEL shall not be liable for any unauthorised disclosure resulting from events beyond its reasonable control, including cyber incidents or unlawful acts of third parties.
13. COMPLIANCE OF SUBMISSIONS
The Applicant represents and warrants that the Submission:
- complies with all applicable laws and regulations;
- does not contain malicious code, viruses or harmful software;
- does not infringe any intellectual property, privacy or contractual rights;
- does not contain unlawful, defamatory, discriminatory or offensive content;
- does not misrepresent the Applicant or the capabilities of the Submission; and
- complies with any technical requirements specified by SLTMOBITEL.
SLTMOBITEL reserves the right to reject or disqualify any Submission that does not comply with these requirements.
14. EVALUATION PROCESS
14.1 All Submissions shall be evaluated in accordance with the criteria determined by SLTMOBITEL.
14.2 SLTMOBITEL may request additional information, demonstrations, interviews or presentations from Applicants.
14.3 Failure to respond within the specified time may result in disqualification.
14.4 The decisions of SLTMOBITEL and the Judges shall be final and binding.
14.5 No correspondence shall be entered into regarding scoring, ranking or evaluation outcomes.
15. PUBLICITY
15.1 Where an Applicant is shortlisted, selected as a finalist or receives an award, the Applicant grants SLTMOBITEL the right to publish and use the Applicant’s:
- name;
- organisation name;
- project title;
- logo;
- photographs;
- videos;
- non-confidential description of the Submission; and
- award results,
for promotional, educational, media and publicity purposes relating to the Awards Programme.
15.2 No compensation shall be payable for such use.
16. SUSPENSION AND DISQUALIFICATION
SLTMOBITEL may suspend, reject or terminate an Applicant’s participation where:
- these Terms are breached;
- false or misleading information has been provided;
- eligibility requirements are not satisfied;
- the Submission infringes third-party rights;
- the Submission contains malicious or unlawful content; or
- continued participation may adversely affect the integrity, security or reputation of the Awards Programme or SLTMOBITEL.
17. DISCLAIMER
17.1 The Portal is provided on an “as is” and “as available” basis.
17.2 SLTMOBITEL does not warrant that the Portal will operate without interruption, delay or error.
17.3 SLTMOBITEL does not guarantee:
- successful submission of any material;
- selection, nomination or receipt of an award;
- continued availability of the Portal; or
- any commercial opportunity arising from participation in the Awards Programme.
18. LIMITATION OF LIABILITY
18.1 To the fullest extent permitted by law, SLTMOBITEL shall not be liable for any indirect, incidental, special, consequential or punitive damages arising out of or relating to:
- use of the Portal;
- participation in the Awards Programme;
- loss, corruption or delay of any Submission;
- interruption of the Portal; or
- any decision made during the evaluation process.
18.2 Nothing in these Terms excludes liability which cannot lawfully be excluded under the laws of Sri Lanka.
19. INDEMNITY
The Applicant shall indemnify and hold harmless SLTMOBITEL, its directors, officers, employees, Judges, consultants and agents against any claims, losses, liabilities, damages, costs and expenses arising from:
- breach of these Terms;
- infringement of third-party rights;
- unlawful conduct of the Applicant;
- inaccurate or misleading information submitted by the Applicant; or
- any claim relating to the Submission.
20. AMENDMENTS
SLTMOBITEL reserves the right to amend these Terms at any time. Any revised Terms shall become effective upon publication on the Portal unless otherwise stated. Continued use of the Portal constitutes acceptance of the revised Terms.
21. SUSPENSION OR CLOSURE OF THE PORTAL
SLTMOBITEL may suspend, restrict or discontinue the Portal or any part of the Awards Programme at any time without prior notice where reasonably necessary for operational, legal, security or administrative reasons.
22. FORCE MAJEURE
SLTMOBITEL shall not be liable for any delay or failure in performing its obligations due to events beyond its reasonable control, including natural disasters, acts of government, civil unrest, labour disputes, failures of communication networks or cyber incidents.
23. GOVERNING LAW AND JURISDICTION
These Terms shall be governed by and construed in accordance with the laws of the Democratic Socialist Republic of Sri Lanka. The courts of Sri Lanka shall have exclusive jurisdiction to hear and determine any dispute arising out of or in connection with these Terms.
24. SEVERABILITY
If any provision of these Terms is held to be invalid, illegal or unenforceable, the remaining provisions shall continue in full force and effect.
25. WAIVER
Failure by SLTMOBITEL to enforce any provision of these Terms shall not constitute a waiver of that provision or any other right.
26. ENTIRE AGREEMENT
These Terms, together with the applicable Awards Guidelines and any other rules or conditions published by SLTMOBITEL in relation to the Awards Programme, constitute the entire agreement between SLTMOBITEL and the Applicant regarding the use of the Portal.
27. RESERVATION OF RIGHTS
27.1 SLTMOBITEL reserves the right, at its sole discretion, to interpret and apply these Terms and any rules governing the Awards Programme.
27.2 Without limiting any other rights under these Terms, SLTMOBITEL may at any time:
- verify the accuracy of any information or Submission provided by an Applicant;
- request additional information, supporting documents or demonstrations;
- reject, remove or disqualify any Submission that does not comply with these Terms or the Awards Programme requirements;
- modify the evaluation process, timelines, categories or Awards Programme requirements where reasonably necessary;
- merge, suspend or withdraw any award category;
- postpone, suspend or cancel the Awards Programme, in whole or in part, where reasonably necessary due to operational, legal, technical or other circumstances beyond SLTMOBITEL’s reasonable control; and
- take any other reasonable action necessary to ensure the fair, secure and proper administration of the Portal and the Awards Programme.
27.3 SLTMOBITEL shall not be liable for any loss or damage arising from the exercise of its rights under this Clause.
28. ELECTRONIC COMMUNICATIONS
28.1 By registering for or using the Portal, the Applicant agrees to receive communications from SLTMOBITEL electronically, including by email, through the Portal or by any other electronic means designated by SLTMOBITEL.
28.2 Any notice, request, instruction or other communication issued electronically by SLTMOBITEL in connection with the Portal or the Awards Programme shall be deemed to have been duly given upon transmission, unless otherwise specified.
28.3 Applicants are responsible for ensuring that their contact details remain accurate and up to date and for regularly monitoring the email address and account associated with their registration.
28.4 SLTMOBITEL shall not be responsible for any loss, delay or consequence arising from an Applicant’s failure to receive or respond to electronic communications due to inaccurate contact details, technical issues or failure to monitor the registered account or email address.
